Turn an InDesign Layout into a PDF Proof

INDD to PDF gives reviewers a page-based copy of an InDesign layout. Before circulating it, confirm the document's links and fonts are available and that the exported pages use the size, margins, and color treatment expected for the proof.

About converting INDD to PDF

Start with the layout's dependencies

An INDD document can refer to linked photographs, graphics, and fonts stored separately. Missing resources may appear as low-resolution previews, substituted type, or incomplete artwork in the proof. Check the document's link and preflight status before export.

For a handoff that must remain editable, the PDF is not the whole package. Preserve the INDD file with the assets and permissions needed for later work, or provide an approved packaged project through a secure method.

Select the kind of PDF the reader actually needs

A screen proof and a print production file can have different requirements. Compression, color conversion, bleed, trim marks, and output profiles should match the intended recipient. Avoid assuming one preset is suitable for every printer or review channel.

If the goal is internal approval, a compact proof may be appropriate. If the file goes to a printer, follow that provider's specifications and confirm the requested page boxes, color space, and image resolution.

Review spreads, pages, and finishing boundaries

Inspect the complete document rather than relying on a cover preview. Check page order, facing-page treatment, running headers, folios, and the relationship between artwork and trim. A spread export is not interchangeable with a file containing one page per sheet.

Look at full bleed images and objects near the edge. If the design requires bleed, verify that the PDF includes the intended area beyond trim. Marks and bleed should be present only when the print workflow expects them.

A finished proof still needs a visual comparison

Typography can reflow when fonts are missing, and transparency effects may render differently across output settings. Compare detailed pages at high zoom, then review the document at normal size to judge hierarchy and readability.

Check captions, small legal copy, placed tables, and images with fine texture. A file can open successfully while a subtle substitution or clipping error remains. Record the proof version and communicate any limitations to reviewers.

Frequently Asked Questions

Does the PDF contain the editable InDesign project?

No. It contains exported pages. The INDD project and its linked assets are needed for normal layout editing and should be retained separately.

Will the PDF include bleed and crop marks?

That depends on export settings and the intended print workflow. Confirm the printer's requirements and inspect page boundaries before treating the file as production-ready.

Why are linked images missing from the PDF?

The layout may not have access to a linked asset or may use a stale preview. Check links and preflight warnings in the source document, then export and review again.

Should I export spreads or individual pages?

Use the arrangement requested by the reader or printer. A page-by-page PDF is common for review, while certain workflows may request spreads; verify before delivery.

Is a PDF proof suitable for every printer?

Not automatically. Printers can specify color profiles, bleed, marks, page boxes, and PDF settings. Follow the destination's documented requirements and obtain approval when uncertain.
